Repurpose.io Features and Workflow Settings: Scheduling, Filters, Old Content, AI and Teams

· 5 min read

Reposting tools look simple until you try to make them work the way you post: only some videos, at certain times, to some apps, with different captions, for several clients. This guide covers the workflow settings people ask about with Repurpose.io, from scheduling and delays to filters, old content, AI features and team organisation, and how to set them up so automation does what you expect.

Features and plan limits change, so check Repurpose.io’s own documentation for what your plan includes today. The setup advice below applies to any reposting tool.

Choose what gets reposted

New videos, old videos, or both

Most tools separate workflows for future videos from workflows for existing ones. A future-only workflow ignores everything posted before it was created. To repost your back catalogue, use an existing-content option and send it gradually, a few videos a day, so you do not hit platform posting limits or flood your followers.

Only some videos

To keep certain videos from being reposted, use filters (by hashtag, keyword or length) or keep the workflow on manual approval. Filters are better for rules you will repeat (“never repost videos tagged #ad”). Manual approval is better while you are still learning what works on each app.

Push one video right away

If one video needs to go out now, publish it manually from the content list instead of changing the workflow’s schedule for everything.

Choose when it goes out

  • Delays. A delay (for example, repost to YouTube two days after TikTok) gives each app a fresh post instead of the same video everywhere at once.
  • Schedules and calendars. A calendar view helps when several workflows post to the same account. Check it for clusters where many videos land on the same day.
  • Best time to post. Automatic “best time” options are averages. Your own analytics on each app beat a generic rule, so check after a few weeks.
  • Hourly and daily limits. Platforms cap how much you can publish through their API. Keep workflows well below those caps.

Choose where it goes

  • One workflow, several apps. Simple to manage, but one failing destination can hide in the logs. Check every destination in the first week.
  • Same-platform reposting. Reposting from one TikTok account to another, or one Instagram account to another, is possible in some tools but risky: platforms treat identical content on several accounts as duplicate or spam. Change the caption at least, and avoid it for accounts that compete for the same audience.
  • Publish versus backup. Cloud storage destinations (Google Drive, Dropbox) are for keeping copies, not for audience reach. Keep them in a separate workflow so a full drive does not block publishing, and clean up old files now and then.

Change the post for each app

  • Captions per destination. Use templates so hashtags, mentions and calls to action fit each app.
  • Links. Links in captions are not clickable on TikTok or Reels. Put links where each app makes them useful: the YouTube description, a Pinterest Pin link, a first comment where allowed.
  • First comment. Some tools can post a first comment automatically. Useful for links and extra hashtags on apps where comments are visible.
  • YouTube settings. Titles, playlists, “made for kids” and monetization are channel-level settings in YouTube Studio. Set defaults there, and use the tool only for title and description templates.
  • Length. Check each destination’s maximum length for short videos before you automate longer clips.

AI features

AI can find clips in long videos, split them, detect timestamps and rewrite captions. Use it for drafts, not final copy:

  • Review AI clips before they publish. Automatic highlights miss context.
  • Review rewritten captions for brand names, claims and tone, especially for client accounts.
  • Turn AI features off for accounts where every word must be approved.

Teams, clients and organisation

  • Folders or projects. Group workflows by client so nobody edits the wrong one.
  • Naming. Name workflows “Source to destination, client”, for example “TikTok to Reels, Studio Nova”.
  • Filters by platform. Useful once you have more than ten workflows.
  • Access. Give team members their own logins where the tool supports it, rather than sharing one.
  • Zapier and integrations. Good for notifications and logging (a message when a post fails), less good for the posting itself, which the tool already does.
  • Mobile. Check whether the tool’s mobile app or mobile site lets you approve and fix posts, since that is what you will need most often away from a computer.

A setup that works for most creators

  1. One workflow for new videos from your main app to the two destinations that matter most.
  2. Manual approval for the first week, then automatic.
  3. Caption templates per destination.
  4. A small delay on secondary apps.
  5. One separate workflow, added later, for old videos at a slow pace.
  6. A backup workflow to cloud storage if you want copies of everything.

How this works in Repostit

In Repostit, a Future workflow sends each new video as it is published, and an Existing workflow sends past videos, all at once or on a schedule. Every workflow can stay on Manual until you have checked the first posts, then switch to Auto. Backups go to your own Google Drive or Dropbox. You can try it with the 14-day trial, no credit card needed. See workflows, the post planner and the Repurpose.io alternative comparison.

Common questions

Will an existing-content workflow repost everything at once?

Only if you set it to. Choose a schedule (for example one video a day) so the backlog goes out gradually.

Can I stop one video from reposting after the workflow is on?

Yes, in most tools: skip or delete it from the queue before it publishes. If it already published, delete it on the destination app.

Is it better to have many small workflows or one big one?

Small ones are easier to debug and to pause. Use one workflow per source and destination group.

Post once. Repostit shares it everywhere else.
